Keep the people behind the football connected.
Manage players, families, coaches, volunteers, committee roles and access as part of one club record, without forcing every person into a login or losing their history when roles change.
A club is more than a list of users.
Lineage XI keeps people, responsibilities and family access connected to the football and to the history of the club.
One person, many roles
A coach can also be a parent, volunteer or official without needing duplicate profiles.
Families & handover
Link guardians to children, manage availability and keep sensitive collection information behind deliberate access controls.
Staff continuity
Retain team service, club positions and handovers when volunteers or coaches move on.
Access by responsibility
Give administrators, welfare staff, coaches, volunteers and families only the access their role requires.
Club Management
+
Club Management
Run the whole club, not a collection of disconnected teams
Lineage XI brings the football structure and the organisational structure of the club together. Teams and competitions sit alongside committee positions, volunteers, staff responsibilities and the people currently carrying them.
Club Profile and Administration
- Club name, crest, branding and contact information
- Club-wide configuration and administrative dashboards
- Action Centre and operational visibility
- Central people and club records
- Public and internal club information
- Historic club information
Football Structure
- Seasons
- Age groups
- Teams
- Divisions and competitions
- Players
- Coaches and team staff
- Parents and guardians
Multiple teams can sit within the same age group and carry the competition or division allocations that apply to them.
Club Structure and Office Holders
Club positions can continue even when the person holding them changes.
- Chair, vice chair, secretary and treasurer roles
- Welfare and safeguarding positions
- Football and coaching leadership
- Other committee or club-defined positions
- Current office holders
- Dated former office holders
- Vacant positions
- Public or private presentation
- Recruitment links for vacancies where used
When somebody hands a role over, the position remains part of the club and the previous appointment stays in history. That preserves who served the club, in what capacity and when.
People & Identity
+
People & Identity
Keep one continuing record for each person
A person can be involved with the club in more than one way. The same individual might be a coach, guardian, volunteer or match official, and Lineage XI can keep those relationships connected without creating a new person every time their role changes.
People Do Not Have to Be Users
- Players, guardians, staff, supporters and officials can exist without a login
- A login can be linked later when access is actually needed
- One login can represent more than one appropriate club relationship
- Changing an email address does not mean losing the person's club history
- Moving team, role or season does not require recreating the person
Names and Football Identifiers
- Keep a legal first name for formal or registration use
- Use a preferred first name for normal football presentation where enabled
- Retain the legal name independently when a preferred name is used
- Store an optional FA Number (FAN) where relevant
- Keep FAN and other administrative identifiers out of normal public or member presentation
Reusable People Across Club Workflows
Known people can be reused where appropriate instead of being retyped into separate areas. For example, an existing club person can be appointed as a match official, while an external official can be retained for future fixtures without automatically receiving an account.
Reduce Duplicate Records
Lineage XI can flag likely matches using information such as name, email, phone number and FAN before somebody creates another record for the same person. The club remains in control of whether two similar records genuinely represent the same individual.
Parents, Guardians & Families
+
Parents, Guardians & Families
Keep family access useful without making safeguarding information ordinary profile data
Guardians can be linked to one or more players, receive the information relevant to their children and respond to club activity, while sensitive identification and handover information stays behind a tighter privacy boundary.
Family Relationships
- Link one or more guardians to a player
- Record the family relationship
- Identify a primary guardian where appropriate
- Support one guardian account across multiple linked children
- Keep a guardian record without requiring them to have a login
- Use linked relationships for communications, availability, consent and relevant club notices
Contact Information With Deliberate Access
Phone numbers, email addresses and other personal information are administrative details rather than an ordinary team directory. Even authorised staff can be required to deliberately reveal sensitive details when they genuinely need them.
- Personal details obscured by default
- Temporary reveal for authorised users
- Team-scoped access for coaches where appropriate
- Wider access for specifically authorised welfare or administrative roles
- Reveal actions recorded for accountability without copying the sensitive values into the audit record
Two Photographs for Two Different Purposes
Lineage XI keeps a private safeguarding identification photograph separate from an optional community avatar.
- Identification photograph: used by authorised staff for safeguarding and handover recognition
- Community avatar: optional parent-controlled image for authenticated club activities
- Changing one photograph does not change the other
- The safeguarding image does not become a forum, chat or community profile picture
Child Drop-off and Collection
Attendance and handover are treated separately. A child can be attending a fixture, training session or club event while somebody different is responsible for bringing or collecting them.
- Separate drop-off and collection arrangements
- Select a guardian already linked to the child
- Record a one-off named collector without creating a permanent club profile
- Add relationship, recognition guidance or handover instructions where useful
- Keep names, contact details and identification photographs hidden until an authorised user deliberately needs them
Handover Readiness
Clubs can decide whether drop-off or collection information is required, recommended or not required for an age group and type of activity.
- Fixture, training and club-event policies
- Independent drop-off and collection expectations
- Reminder lead times where configured
- Coach-facing readiness such as recorded, missing or recently changed
- Identification-photo review states for authorised welfare or administrative users
The normal team view can show that action is needed without exposing who the collector is or revealing the safeguarding information behind the declaration.
Coaches, Staff & Volunteers
+
Coaches, Staff & Volunteers
Keep a proper record of the people who serve the club
Lineage XI records where staff and volunteers are involved now while retaining the teams, positions and service that came before. Ending an assignment closes that period of service rather than deleting it.
Staff and Volunteer Profiles
- Name and profile photograph
- Club and team roles
- Recorded club join date
- Current teams and responsibilities
- Previous teams and dated service history
- Current and previous Club Structure positions
- Length of service
- Contact information where appropriate
- Internal biography or profile information
Coaching Structure
- Lead coach
- Assistant coach
- Additional coaching staff
- Team manager
- Age-group lead
- Club-level coaching roles
- Team and age-group responsibility
- Staff continuity between seasons
Beyond the Coaching Team
The same approach can support committee members, administrators, welfare staff, team managers, volunteers and other authorised club roles, so the club does not need one system for football staff and another for everybody else.
Where public website features are enabled, selected career information can be published separately without turning the private staff record or compliance information into public content.
Roles & Access
+
Roles & Access
Give people access for the responsibility they actually hold
Lineage XI uses role-based access so somebody can do their job without automatically seeing or changing everything else in the club.
Club, Team and Custom Roles
- Protected system roles
- Club-wide roles
- Team-scoped roles
- Custom club roles
- More than one role where a person genuinely carries multiple responsibilities
Scope Access to the Right People and Work
- Club administrators can work across the club where authorised
- Welfare officers can access the safeguarding areas their role requires
- Age-group leads can work within the relevant age group
- Coaches can be limited to their assigned teams
- Assistant coaches can receive only the coaching functions they need
- Parents and guardians see their linked children
- Volunteers can be restricted to the task or area they are helping with
Sensitive Access Stays Deliberate
Permission to perform normal football work does not automatically mean permission to see safeguarding, privacy or other sensitive information. Those areas can carry their own access requirements and deliberate reveal controls.
User Accounts
+
User Accounts
Not everybody in the club needs a login
Accounts are created for people who need to use Lineage XI, rather than being the thing that defines whether somebody exists in the club.
- Secure user accounts
- Active and inactive account states
- Link accounts to the appropriate club person
- Role and permission assignment
- Club-wide or team-linked access
- Parent and guardian access through linked children
- Staff access through the roles they hold
- Navigation and actions that reflect the user's permissions
- User profile and account lifecycle management
- Controlled administrative access
This makes it possible to keep players, guardians, volunteers or officials in the club record even when they do not need to sign in themselves.
Member & Parent Portal
+
Member & Parent Portal
Show families what they need, not the administration system behind it
The member portal gives players and families a narrower view of the football and club information connected to them. One guardian login can cover multiple linked children where appropriate, without exposing unrelated players or private coaching and administrative records.

Public Coach & Staff Profiles
+
Public Coach & Staff Profiles
Turn club service into a public career profile, only when you choose
Where the club enables public website features, Lineage XI can present selected coach and staff career information from the history the club already holds. Publication is optional per profile and does not make the internal staff record public.
What a Public Profile Can Show
- Profile photograph
- Name and public headline
- Biography
- Coaching philosophy
- Recorded club join date
- Current team responsibilities
- Previous dated team service
- Current published Club Structure positions
- Previous published office-holder history
- Length of club service
- Qualifications specifically selected for publication
Private Staff Information Stays Private
- Publication is opt-in for each profile
- Internal notes are not published automatically
- DBS or compliance reference numbers remain private
- Private verification evidence remains private
- Private staff media remains permission controlled
Public Team Staff, Club Structure and Club History can link to the same enabled profile, giving the club a consistent public view without maintaining a second career history by hand.
